TRAINING QUALITY COORDINATOR

POSITION FUNCTION (PURPOSE):

The Training Quality Coordinator is responsible for coordinating, monitoring and improving the quality of institutional learning, academic training and professional services development programmes across the Malawi Liverpool Wellcome Programme.

The position supports the delivery of high-quality training and learning opportunities for staff and trainees across the institutional academic pipeline, including interns, pre-master trainees, master’s students, doctoral students, postdoctoral researchers and other stakeholders.

The postholder ensures that training programmes are appropriately planned, implemented, documented, tracked and evaluated in accordance with MLW policies, strategic priorities, funder requirements and recognized quality standards.

The role also links the overall MLW Training Strategy with the Talent Management Strategy, which is foundational to individual Professional Development Plans for performance management outcomes, departmental training needs, succession planning, staff planning and staff promotion, and learning Management system (LMS). This includes identifying competency and performance gaps and coordinating appropriate learning interventions that contribute to improved staff performance, trainee progression, productivity, research capacity and institutional effectiveness.

The Training Quality Coordinator will work closely with managers, supervisors, trainees, academic partners, and external training providers to promote consistent standards and a culture of continuous learning and improvement.

Responsibilities

KEY ACCOUNTABILITIES/RESPONSIBILITIES:

  1. Training Quality Assurance – Develop, implement and regularly review standards, guidelines, procedures and tools for assessing the quality of institutional learning and training programmes. Ensure that training programs are delivered in accordance with approved objectives, curricula, institutional policies, funder requirements and recognized professional standards. Conduct periodic reviews of training programmes to assess their relevance, consistency, accessibility, effectiveness and overall quality. Identify gaps in training quality and recommend practical corrective and improvement measures. Support departments, supervisors, facilitators and programme lead in applying consistent standards for training, delivery, assessment and learner support.
  2. Training Needs Assessment and Planning -Coordinate institutional, departmental and individual training needs assessments. Review staff professional development plans and performance management outcomes to identify technical, leadership, behavioral and professional development needs. Work with managers, supervisors and human resources to prioritize training needs based on institutional strategy and operational requirements.
  3. Academic and Research Training Coordination -Coordinate and monitor the quality of MLW’s academic training pipeline, including internships, master’s programs, doctoral training, postdoctoral development and other training awards.
  4. Learning Programme Design and Delivery – Coordinate the design, review and delivery of learning programs based on identified organizational and individual needs.
  5. Monitoring, Evaluation and Learning – ensure satisfaction, knowledge acquisition, behavioral change and workplace application of learning.
  6. Talent Management – Support the alignment of staff development activities with MLW’s Talent Management Strategy through the management of the learning management system and other external training offerings to ensure staff and trainee professional development.
  7. Training Administration and Records Management – Maintain accurate and confidential records of training applications, approvals, attendance, assessments, certificates, evaluations and expenditure. Maintain and regularly update the institutional training database and Learning Management System.
  8. Training Governance and Compliance – Support the development and review of training and development policies, guidelines and Standard Operating Procedures. Ensure compliance with MLW policies, ethical requirements, health and safety standards and relevant funder conditions.

Requirements

QUALIFICATIONS

  1. Education: Bachelor’s degree in organizational development, Training and Development, Education, Human Resource Management.
  2. Certifications in any of the following areas: learning and development, training management, quality assurance, monitoring and evaluation, or instructional design.
  3. Experience: At least five years’ relevant experience in learning and development, training coordination, academic programme administration, research capacity strengthening, quality assurance or human resource development.
  • Experience using Learning Management Systems or digital learning platforms.
  • Experience supporting talent management, succession planning or career development programmes.
  • Experience coordinating organizational or departmental training programmes.
  • Experience conducting training needs assessments and preparing training plans.
  • Experience monitoring and evaluating learning programmes.
  • Experience in maintaining databases, training records and management reports.
  • Experience in preparing professional reports, presentations and training documentation.

  • Planning and organization – plans activities systematically, establishes priorities, coordinates resources and ensures timely completion of assigned responsibilities.
  • Analytical thinking – analyzes training data, evaluation findings and performance information to identify trends, gaps, risks and practical solutions.
  • Communication skills – communicates clearly, professionally and confidently with trainees, staff, supervisors, senior management and external stakeholders.
  • Initiative and problem solving – identifies training gaps and operational challenges and takes timely action to address them.
  • Attention to detail – maintains accurate records, checks information thoroughly and ensures that reports and training documentation are complete.
